The Legal Cases screen displays all legal events associated with charges, and provides a history of each charge. Start your record of a new case here.
If necessary, query in the Header block to locate the offender.
Click Next Block to access the Cases block, where you define the case type and record such information as docket numbers, co-accused, offender contact persons, victims and witnesses. You can also combine two legal cases together here if a judge wants to apply legal orders to cover both cases.
This block automatically displays all previously recorded cases for the offender, ordered by date with the oldest first.
If necessary, click Insert to create a blank line.
To record an arrest, fill in the fields:
Case/Info #: type in the case number or information reference number; mandatory.
Offender Name on Court Document: type in the name of the offender; mandatory. The field defaults to the name in the Header block. If this is not the name the offender was arrested under, click on the List of Values to open the Aliases and Other Identifiers screen, where all known names and aliases associated with the offender appear.
If the name you are looking for is there, select it and click on Exit. This will take you back to the Legal Cases screen, and the name you selected will appear in the field.
If the name is not there, you can add it to the list. Click on a blank line on the Aliases screen and type in the name. Click Save and then Exit. This will take you back to the Legal Cases screen, and the name you entered will appear in the field.
Type of Case: select a case type (e.g., Adult, Youth or Juvenile) from the List of Values; mandatory.
Status: automatically displays Active when the record is saved, unless the case has been combined with another case. Then, the status reads Combined.
Combined With Case: blank unless this case has been combined with another case. In that instance, the case number that is combined with this case displays. See the link below to learn how to combine cases.
You can also add more information by using the buttons on the Case block to open various pop-up windows and other screens. Use the links below to learn about the following windows. Remember to save if you add or change anything in a pop-up window.
Click the Reference #s button to open a pop-up window where you can type in additional numbers such as a Docket #, Rap# or Reg #.
Click the Co-Accused button to open a pop-up window where you can type in the names of anyone co-accused with the offender. Use the List of Values to search for any other offender who has ever had a record on TAG. If the person you are looking for isn't there, you can record them as a contact by using the Other Persons button, or you can create a new offender record for the co-accused person on the Assign Offender ID screen.
Click Other Persons to open the Personal and Professional Contacts screen, where you can learn about the offender's personal, professional and family contacts, or record a new contact. You can also add a new co-accused person as a contact if they do not have an offender record on the TAG system.
Click the Victims/Witnesses button to open a pop-up window so you can type in information about victims and/or witnesses in the selected case.
Click the Combine Cases button to open a pop-up window so you can select a case to be combined with this case. You can also "uncombine" two cases that have been combined.
Click Save.
Click Next Block to access the Case Events block.
