The Event Scheduler screen records any event an offender is scheduled to attend during a period of supervision, including reporting to an officer, court appearances, or program/service appointments.
After you have recorded an offender appointment on this screen, you can later record whether the appointment actually took place.
The Event Scheduler screen includes a Recurrent Schedule button that allows you to generate recurrent schedules for an activity, so you do not have to type in the activity more than once.
The Event Scheduler screen is linked to Case Notes, and the Resource Directory for programs and services.
To access this screen from the Main Menu, select Community Case Management Event Scheduler
OR
Click the Offender Schedule button on the Case Notes or the Offender Assignments screens.
Select Query/Find to locate the offender.
Click Next Block to access the Schedule Event block.
The Schedule Event block lists all records in ascending chronological order, including all offender course/activity schedules from the Programs & Services module, and future report-ins as recorded on the Intake screen. Confirmed report-ins at the time of intake (Report In block, Intake screen) are displayed as confirmed events (with the Confirm event/Yes button clicked).
The Program/Service Course/Activity-Session fields are filled automatically by information from the Programs & Services module. You cannot enter data in these fields.
To record an activity, click a blank line or click Insert.
Complete the following fields:
Type: select an event type from the List of Values; mandatory.
Sub-Type: select an event subtype from the List of Values; mandatory.
Date: type in the date of the event (MM/DD/YYYY). Mandatory.
Start Time: type in the time the event starts; HH:MM (24 hour clock). Mandatory.
End Time: type in the time the event ends; HH:MM (24 hour clock). Optional.
Location: select the agency location of the event from the List of Values. Mandatory. The list displays all agency locations in the entire jurisdiction. If the appointment is at a location other than an agency location, select Outside.
Comment: type a comment. Optional.
Click Save, then:
To generate a recurrent schedule:
Select the line that needs the recurrent schedule, if it is not highlighted already.
Click the Recurrent Schedule button to bring up the Recurrent Schedule window.
Fill in the Recurrent Schedule window, save, and exit.
You are returned to the Event Scheduler screen with the recurrent schedule automatically listed in the Schedule Event block
Officer: to associate an officer with the selected event, click on the List of Values; optional. This opens the Active Officers in Current Location screen where you can select an officer.
Description: when you select a record in the Schedule Event block that has an entry in the Program/Service Course/Activity field, the Description field at the bottom of the screen displays the description for that program or activity.
Click Save.
You can modify or update the Date, Time, Location fields and the Confirm Event button.
You cannot delete a record once it has been confirmed (Yes or No).
To confirm whether an event took place:
Confirm Event button: click on one of the Yes/No buttons to confirm that an offender did or did not attend a scheduled event. You cannot select both buttons; by default, both buttons are blank. Only schedule records created on this screen can be confirmed here. This excludes programs/services.
