Case Notes

The central record of offender supervision is provided by case notes stored in chronological order on the Case Notes screen. Use this screen to create a case note or amend one.

In certain situations, TAG auto-generates a case note based on another system event like a failed substance test, a re-arrest, or a scheduled offender appointment. For instance, the Event Scheduler screen can generate the following case note if a drug test is scheduled: "Drug test scheduled for [date/time] at [location]."

  1. For Institutional work, select Institution Case Management Case Notes to access this screen from the Main Menu.

For Community work, select Community Case Management Case Notes.

  1. If necessary, query in the Header block to locate the offender.

  2. Click Next Block to access the Case Note Chronology block.

    To locate a specific case note for an offender, you can query on date, type, sub-type, or staff member.

  3. To view the text of a particular case note, click on the case note in the Case Note Chronology block. The case note text appears in the text field in the Case Note Contents block.

  4. To create a new case note, click in a blank row in the Case Note Chronology block and fill in these fields:

The List of Values displays only case note types defined by your system administrator for the user group to which you, the current user, have been assigned.

  1. Sub-type: select the sub-type from the List of Values; mandatory.

  2. Staff Member: defaults to you, the current user; cannot be changed.

  3. A[mendment] button: click to make an amendment. (Only the person who created a note can amend it.)

  1. Click Next Block to access the Case Note Contents block.

  2. Select the boxes that apply to your case note. If they require changes on other screens, you may be able to jump to those screens using the toolbar Navigator, and then return here.

  3. Type in your case note; mandatory.

  4. Click Save.

Click Case Plan to see the offender's current case plan.

Click Event Scheduler to see the offender's schedule.
