At the far left of the Main Menu is the Search/assign menu. This is the TAG central case file, the electronic repository for all offender records in your jurisdiction including institutional bookings and community contacts. Demographics, descriptor data and offence histories for both active and inactive offenders are summarized here for easy reference. To locate offender records you can carry out exact, partial and soundex name searches along with searches by key identifiers (for example, a driver’s licence number).
Every offender record is identified by a 10-digit unique identifier, called the ID# in Help (although you may have different terminology). TAG will never assign one person more than one ID#, or create two records with the same ID#.
TAG tracks an offender ID# throughout the system the same way for both institutional and community TAG applications. In an institutional application, an ID# is assigned and a new record is created when an offender is first booked onto the system. For repeat offenders, TAG does not create a new ID#. Instead, the existing ID# is pulled from the central case file, and that offender record is updated with the new booking information. For each new booking, TAG creates a booking number in the offender record. All data recorded during this offender’s present incarceration is stored under the current booking number.
When an offender is released from custody, the offender record changes from active to inactive. The offender’s record remains in the TAG central case file. If this offender is booked again, the offender record is retrieved, and made active with a new booking number.
The intake procedure for community work is similar to the booking procedure for institutional incarceration. When an offender file is first activated on the system for community service workers to perform work on the offender, an ID# is assigned and a new record is created. For repeat offenders, TAG does not create a new ID#. Instead, the existing ID# is pulled from the central case file, and that offender record is updated with a new contact number. For each new contact, TAG creates a contact number in the offender record. All data recorded during the period that community work is being done on the offender is stored under the current contact number.
When the community service workers have completed their work on the offender, or the offender has completed his/her period of supervision, the offender record changes from active to inactive. The offender’s record remains in the TAG central case file. If this offender receives another community contact, the offender record is retrieved, and made active with a new contact number.
