Any officer at any agency location can retrieve any offender record, active or inactive, to perform work associated with that offender. To locate a prior offender record on TAG, and then decide what to do next, follow these steps:
Use the search screens under the Search/assign menu to determine if the offender has an existing record on TAG:
Exact Search queries on exact name spellings.
Partial Search queries on names beginning with a certain letter or sequence of letters.
Soundex Search retrieves names that sound similar to the name queried.
Identifier Search queries on numbers such as driver's license or birth certificate.
Case Identifier Search queries on numbers tied to a specific legal case, like a court information or docket number.
The system retrieves and displays record(s) matching the search criteria in step 1, with supporting detail to help determine which (if any) record is the one the officer needs. A Booking Summary screen accessible by formpath lists all booking and contact numbers for the offender.
For records with active community bookings, the Booking Summary screen also displays the locations that now have an interest in that record.
The desired offender record may or may not exist, or it may or may not currently have an active community contact. Different circumstances will determine the next step in the procedure:
If the offender record does not exist (the offender has no unique offender ID#), create the record on the Assign Offender ID screen, then open a booking for the offender on the Intake screen. The record will then be active on the caseload where the intake occurred. An officer on that caseload may now access this record for update on any screen with a standard header. Offender demographics are recorded on screens linked in a formpath.
If the offender record has a currently-active community contact: you can now access the offender record if your current caseload contains a location with an established interest in that record. (An "established interest" lets a location do work on an offender who is booked at another location). The Open Contact At Agency Location screen establishes that interest.
If the offender record exists but does not have a currently-active community contact: select the desired unique offender ID# and follow a navigation link to the Intake screen. The record will then be active on the caseload where the intake occurred. You can now access this record for update on any screen with a standard header. Offender demographics from previous bookings are displayed on screens linked in a formpath, for verification or update.
