To record a new supervision order, you must first select the case the order applies to, and then record the details of the order itself.
To access this screen from the Main Menu, select Community Orders/Requests Orders.
Query in the Header block to locate the offender.
In the Cases block, select the case you want.
Make sure there is a court event recorded for the case in the Case Events block. You should see CRT in the Event Type field and CONV in the Sub Type field.
If you don't see a court event, read about Recording a Court Event and follow the steps there. Then come back to this topic and continue from here.
To make sure the system ties the order accurately to the court that is requesting it, select the conviction event in the Case Events block, if it is not already selected. (TAG automatically highlights the most recent event in the case, which is probably the conviction.)
Click the Supervision Orders button at the bottom of the screen to take you straight to the Orders screen. The information from the Legal Cases screen will carry over, so you can see the court order and related charges in the Events and Offenses blocks.
Click Next Block twice to access the Offenses block.
Select the offense that the order covers. Normally one offense is associated with one order. If this is not the case, select one of the offenses covered by the order and continue. Pay close attention to the Related Offenses field in Step 10.
The only block you have to fill in is the Orders block. Click Next Block to get to it.
Fill in:
Type: select the order type from the List of Values; mandatory.
Code/Description: select a code and/or a description for the order type from the List of Values. Your selection automatically fills in both fields; mandatory.
Related Offenses: displays the number of offenses recorded against this order. This field will be blank until the screen is saved. The system then generates a value. The default value is 1; the currently selected offense is automatically related to the order being registered under it.
If more than one offense is associated with the order, click on the List of Values to open the Offenses Related To This Order/Request window. Then select additional related offense(s) to be applied, or delete offenses not related. At least one offense must be selected; multiple selections are allowed.
Counts: type in the number of counts of this offense. The number must be greater than zero, and defaults to 1; mandatory. The recorded value should not be greater than the total number of counts of all related offenses.
DTBF (Date To Be Fixed): if the date the order expires is not yet fixed, check this checkbox. If the checkbox is checked, the Order Expiry Date field will not accept entries.
Order Expiry Date: type in the date the order expires if the date is fixed. This date cannot be earlier than the commence date. Use standard date format; optional.
Supervision Expiry Date: type in the date supervision expires. This date cannot be later than the order expiry date. Use standard date format; optional.
Click Save.
After the save:
You will get a message asking you if you want to assign the order to an officer with primary ownership of this offender work, if primary ownership has been previously assigned. Click on Yes or No.
The system derives and displays the Line # (next available whole number in sequence for this offender). The numbering sequence is shared between orders and requests.
The Status reads ACTIVE.
A number appears in the Related Offenses field.
