Supervision Orders

The Orders screen records all orders of a court or releasing authority, including penalty and non-penalty dispositions.

  1. To access this screen from the Main Menu, select Community Orders/Requests Orders,

OR

Click the Supervision Orders button in the Legal Cases screen.

  1. If necessary, query on the Header block to locate the offender.

  2. Click Next Block to access the Events block.

The Events block defines the court event from which the order comes. When the Orders screen is accessed from the Legal Cases screen, the court event selected on that screen automatically displays in the Events block.

  1. If necessary, query to select the desired event.

  1. Once an event is displayed, click the Next Record to display other events (if any) for the same offender.

  2. Click Next Block to access the Offenses block.

The Offenses block automatically shows all existing offenses for the event selected in the Events block, listed in the order in which they were entered on the Legal Cases screen.

The Orders/Requests field (far left) indicates the number of related orders or requests entered against the currently selected offense (zero, if none have yet been allocated). For more information, click on the List of Values to display the Orders/Requests Allocated Against This Offense pop-up window. This is a display-only window where you can scroll through a list of any orders or requests relating to the selected offense.

  1. Click Next Block to access the Orders block.

The Orders block displays individual orders from a court or releasing authority, their status as concurrent or consecutive (accumulative) to other sentences, and their relationship to selected offenses. There may be more than one order per offense.

  1. Fill in these fields to record a court order:

Click on the List of Values to open the Offenses Related To This Order/Request window. Then select additional related offense(s) to be applied, or delete offenses not related. At least one offense must be selected; multiple selections are allowed.

  1. Accumulative To Line: if the order is consecutive (accumulative) to another order, select the earlier order from the List of Values. It displays all active orders (but NOT requests) eligible for accumulation.

If an order has more than one count, you cannot run sentences consecutive to it.

To change a sentence from consecutive (accumulative) to concurrent, delete the number to make this field blank.

Multiple counts are assumed to be concurrent. To make multiple counts consecutive (accumulative), enter each count on a separate line and specify the sentence it is to be consecutive to.

  1. Commence Date: type the date on which the order commences using a MM/DD/YYYY format; you cannot enter a date earlier than the event date. The commence date cannot be modified after credit hours have been recorded against the selected order in the Programs & Services module (Offender Attendance/Offender Progress screens).

  2. DTBF (Date To Be Fixed): if the date the order expires is not yet fixed, check this box. If the box is checked, the Order Expiry Date column will not accept entries.

  3. Order Expiry Date: type the date the order expires if the date is fixed. This date cannot be earlier than the commence date. Use standard date format; optional.

  4. Supervision Expiry Date: type the date supervision expires. This date cannot be later than the order expiry date. Use standard date format; optional.

  1. Click Save.

  1. If primary ownership of this offender has previously been assigned to an officer, a message appears asking if you want to assign the order to the same officer. Click Yes or No.

After an initial file save:

The following indicators appear on the bottom of the screen:

  1. [Active] Breach/Amendment Application checkbox: shows automatically if the selected order is recorded as Active on the Breach /Amendment Application screen. This means the offender has breached the conditions of the order, or has applied for a change in the conditions of the order.

  2. Conditions: displays the number of conditions entered against the currently selected order.

  3. Proviso checkbox: is automatically checked if an active condition exists permitting suspension or termination of supervision prior to the Order Expiry Date.
