(Community Orders/Requests Orders)
Use the Assign Work to Officer window to assign an individual order/request, or a group of individual orders/requests to the same or different officers. The officers that you are assigning work to do not have primary ownership of the offender work.
To open the Assign Work to Officer window, click the Assign To Officer button on the Orders, Requests or Receive Incoming Work Transfers screens.
The Order/Request/Component block shows:
the line number, code, type and description of the currently selected order/request as entered on the Order/Request screen
all associated components of this order/request, that is, the work that needs to be done
the workload weighting of the component(s) as defined by your system administrator. This value will be added to the officer's current workload.
If you want to assign all of the work items to the officer, check the Assign all components to one officer checkbox.
Click Next block to access the Assign Work to Officer block, where you can assign work to an officer.
Agency Location: select from the List of Values the location to which the order is being assigned. The List of Values shows all locations available on the current caseload. (If you open this screen from the Receive Incoming Transfer screen, the Location field defaults and can't be changed.)
Click on the List of Values in the Supervisor field to open the Active Officers at the Current Location window.
Select a name from the list and click Exit or press Enter. The window closes and the name is carried over to the Supervisor field.
Query to see the list of officers reporting to this supervisor.
The window shows a list of officers now active at the currently selected agency location, and for each name listed, shows:
position at the location
type of duties
schedule type - full time, part time, casual
number of hours per week worked
current workload information
if they have worked with the offender before
You can select an officer from the List of Values in the Name field. The name will appear in the Name field, but the Assign checkbox will stay gray, and will not accept an entry. Click Query. If the selected officer reports to the selected supervisor, the other fields in the row will fill with the information about the officer, and the Assign checkbox will turn white.
Click the Assign checkbox next to an officer's name to assign the work to that officer. Only one officer can be assigned, i.e., only one Assign checkbox can be checked.
Click Save.
If no work item is defined for an order or request, this window is not accessible for that order/request.
A discharged order or request cannot be assigned.
When accessed from Incoming Work Transfers, you can exit without saving. In a transfer, the receiving location is automatically granted an interest in the contact (i.e., 'location is added to current contact') if such an interest does not already exist for this contact and location. When this record is saved, the sending location's interest in the contact is automatically removed if no other assigned orders or requests exist for this contact and location.
Once assigned, work can be switched to another officer as a transfer. See the External Transfers (to another office) screen and the Internal Transfers (between officers at the same office) screen in the Workload Management module.
