The Personal and Professional Contacts screen is one of many demographic screens used when activating an offender's file for community work. This screen keeps a record of family, friends, doctors, clergy and other people associated with individual offenders.
When you first call this screen, all known contact names for the offender are shown in the Offender's Contacts block. The screen shows the Last Name, First Name, Type (family, clergy, professional, etc.) and Relationship (brother, lawyer) of each contact to the offender, along with any comments added by staff members.
Offenders Linked To This Person are also displayed for each person in the Offender's Contacts block. As you select each name in the Offender's Contacts block, the names in the Offenders Linked To This Person block change.
For community work, select Community Intake Personal Contacts to access this screen from the Main Menu.
To add a new contact name:
In the Offender's Contacts block, click in a blank line.
Click the Add/Update Offender Contact button to open the Person Search/Update window.
Because every name entered on TAG is saved, the contact you wish to enter may already be listed (especially for people such as lawyers who may have regular dealings with offenders). You should therefore do a search on the contact name.
Enter at least the last name of the contact in the Search for Persons field. The more fields you can fill in here, the more specific the search.
Query to locate the contact.
If you find the person's record, click the Add to Offender's Contacts button to close the window and carry the name and its details back to the Offender's Contacts block. Skip to step 10.
If no record appears, click the Create New Person Record (This Name) checkbox. This puts the screen in data entry mode and transfers the name you were searching for to a blank line.
Fill in the rest of the Person Search/Update window.
Click the Add to Offender's Contacts button to close the window and carry the name and its details back to the Contacts screen.
Complete the following fields on the Contacts screen:
Type: select from the List of Values; mandatory.
Relationship: select from the List of Values; mandatory.
Comment: add a comment; optional.
Aware of Charges checkbox: select this box if the contact is aware of the charges against the offender; optional.
Can be Contacted checkbox: select this checkbox if the person can be contacted by officers; optional.
Click Save.
The Person Record block displays the information entered on the Person Search/Update screen for the person selected in the Offender's Contacts block.
The Offenders Linked To This Person block lists any other offenders who have personal or professional contact with the person selected in the Offender's Contacts block.
To add further contacts to the offender’s record, use the down arrow key to move the cursor to the next blank field in the Offender's Contacts block and follow steps 2 to 11. You can add as many contacts as necessary.
Click the following buttons to update information on a selected contact person. Use the links at the bottom of this page for instructions for these buttons:
Identifiers button: click this button to open the Identification window where you can record the type and details of identifying documents presented by visitors and other offender contacts.
Contact Numbers button: click this button to open the Contact Numbers window where you can view and record the telephone numbers of offender contact persons.
Employment History button: click this button to open the Employment History window where you can view and add offender contact person employment records.
Addresses History button: click this button to open the Addresses History window where you can view and add offender contact person addresses.
If you are using a formpath, click Next Block to advance to the next screen in the booking or intake sequence.
Highlight the appropriate name in the Offender's Contacts block.
Click Delete.
Click Save.
