Step 7 in creating a community contact
Once an offender has an open Contact #, multiple officers at multiple locations may need access to the record to perform their assigned work. TAG has a screen called Add Location To Current Contact, where multiple offices can be attached to one Contact #.
You can only attach a location to active contacts, and a location can only be attached to a contact once at any one time.
If a location has been attached to a contact, the location cannot establish an interest in another contact of the same offender.
To access this screen from the Main Menu, select Community Add/Close Contact Add Location To Contact.
If necessary, query in the Header block to locate the offender.
The Location Attachment Summary block shows all agency locations that have ever established an interest in the currently-selected contact, listed by Add Date (most recent first). You cannot enter data in this block.
In the Add Location To Current Contact block, fill in these fields to add a location to a contact:
Agency Location: select a location from the List of Values (displays all locations attached to the current caseload); mandatory.
Date: defaults to the system date; cannot be changed.
Reason: select a reason for establishing an interest from the List of Values; mandatory.
Comment: type in a comment; optional.
Click Save.
After saving, the offender record is "open" at this agency location, and the Location Summary Report (pop-up display from the Location field in the header block and the Booking/Contact Summary screen) is updated accordingly.
Once an office has access to the record, the Orders & Requests module is used to enter the orders or requests (work items) that must be administered for the offender. Officers can then be assigned to each work item.
