The Schedule Visit screen books visit appointments and retains a record of the offender's contact with visitors. You can schedule a specific visitor to a specific time and location.
To access this screen from the Main Menu, select Institutions Visits Visits.
If necessary, query in the Header block to locate the offender's record.
The Appointments block shows any upcoming scheduled visits this offender has. To schedule another visit, click in the Visit Type field, and click Insert or scroll with the down arrow key to bring up a blank record.
The Restrictions field in the Appointments block reads Y[es] if this offender has a visit restriction. Click on List of Values to see the details of the restriction.
Complete these fields:
Visit Type: List of Values available.
Location: List of Values available (showing available locations).
Date: enter the date of the visit using a MM\DD\YYYY format.
Start Time: type in the time the visit is to start using HH:MM format.
Comment: optional free-form text entry.
As you record the Date and Start Time, TAG fills in the Pending Visits This Cycle (the number of visits this offender has scheduled in the current visit cycle) and the Recorded Visits This Cycle (the number of visits the offender has received in the current visit cycle).
To record the visitors, click in the Last Name in the Visitors block.
To see a list of people authorized to visit this offender, click the List of Values in the VIN# field. A pop-up window appears, showing names entered for this offender on the Authorized Visitors screen:
To select a name on the list, highlight the visitor name and press Enter. Multiple visitors can be recorded.
If the visitor has not been approved and is not listed, you must first add this person's name on the Authorized Visitors screen.
If the visitor has been restricted from visiting this offender, the Visitor Restrictions window automatically appears when you try to select the visitor, showing the details of the person's restriction. This is a warning only - you can still proceed with the visit. To close this window, click Quit (Exit).
Click Save. This scheduled visit will now appear on the Record Visits screen when you look up this offender.
