The Authorized Visitors screen keeps a list of individuals who are allowed to visit particular offenders. This is normally the first screen you go to when a visitor arrives, to see if the person is in fact allowed to visit an offender.
To access this screen from the Main Menu, select Institutions Visits Authorize. Visitors.
Query in the Header block to locate the offender this visitor will be allowed to see. The screen now displays every person who has ever been authorized to visit this offender. (Some of these people may no longer be authorized, as indicated by a N[o] in the Res[triction] column next to each name.)
If the person's name is listed: TAG allows visits only if the visitor is approved (the Apr [Approved] box at the right of the screen must have a check in it). To change the Approval of a visitor, click in this checkbox and click Save.
Visitor restrictions: The Res[triction] box before each name is checked if this person is currently subject to visit restrictions. Restrictions are warn-ings only. Visitors with restrictions can still visit the offender, but a warning appears when you record the visit.
If the Res[triction] box for a visitor is checked, click List of Values in this box to see the details of the restriction. A pop-up window appears listing the restrictions.
To remove a visitor restriction, enter today's date in the Expiry Date field; use standard date format. Click Save. You can now schedule or record a visit with this person.
If the person's name is not listed in the Offender's Contact Persons block, you must add the name. Click the VIN# field of a blank line and then click List of Values. This brings up the Persons Inquiry window
The window is already in query mode, to allow you to search for the visitor. (If the person you are looking for has ever made a visit to any offender at your facility, the visitor's name will be on the TAG database).
To search for the visitor, type the last Name and click Find (Query). (If you're using the menu or keyboard instead of the toolbar, select Execute Query).
You can do a wildcard search with the % sign (for instance, a query on C% returns all names beginning with C).
You can also query on Date of Birth or Telephone Number.
If you find the visitor's name, follow steps a-c below. (If you did not find the name, go to step 7.)
Click the name, then click OK. This returns you to the Offender's Contact Persons block.
Complete these fields:
Type: List of Values available.
Relationship: List of Values available.
Apr [Approved]: enter Y[es]. Only approved visitors are accepted for visits!
Click Save.
If you did not find the visitor's name, follow steps a-g below.
On the Persons Inquiry window, click on List of Values. This brings up the Persons window, where you can enter a new person record. You are now on a blank record.
Fill out as many of the fields in the Persons window as you can. Only the Last Name and First Name are mandatory. Many fields have a List of Values available - check the hint text at the bottom of the screen.
Click Save.
Click Quit (Exit). This returns you to the Persons Inquiry window, which displays your newly-entered name.
Click OK. This returns you to the Offender's Contact Persons block on the Authorized Visitors screen.
Complete these fields:
Type: List of Values available.
Relationship: List of Values available.
Apr [Approved]: enter Y[es]. Only approved visitors are accepted for visits!
Click Save.
