The Persons screen is accessed from many institutional and community TAG screens.
With the Persons screen you can view and edit person information previously entered into the TAG database, or record information on a person new to the TAG database.
The Persons screen is also used to keep a record of eligible individual payees for system check-writing.
To view person information previously entered into the TAG database, click Find (Query), enter person information, then click Find (Query) again. You can query on the Last Name, ID#, First Name, Middle Name, Date of Birth, City/Town, State, Country, and Occupation. To scroll through all the records, use the arrow keys.
To add person information into the TAG database, fill in the Persons screen beginning with the Persons block.
Last Name: type in the person's surname; mandatory.
First Name: type in the person's first name; mandatory.
Middle Name: type in the person's middle name; optional.
POB: type in the person's place of birth; optional.
ID#: TAG automatically displays a unique ID number when you save the person's information (after filling in the screen).
DOB: type in the person's date of birth in standard date format; optional.
Sex: select the person's gender from the List of Values; optional.
Coroner #: if the person is deceased, type the coroner's reference number; optional.
Deceased Date: type in the date of death in standard date format; optional.
Citizenship: select the person's country of citizenship from the List of Values; optional.
Marital Status: select the person's marital status from the List of Values; optional.
Address/City/Town/State/Zip Code/Country: click on the Addresses button at the lower righthand corner of the screen. This opens the Addresses pop-up window, where you can record the details of the person's past and present addresses. When you save and exit the window, the last address recorded is carried over to these fields in the Persons block.
Employer/Occupation: click on the Employment button in the lower righthand corner of the screen. This opens the Person Employment pop-up window, where you can record details of the person's past and present employment. When you save and exit the window, the last information entered is carried over to these fields in the Persons block.
Date Created: type in the date the record was created, in standard date format; optional.
Criminal History: type in a brief description of the person's criminal history (if any); optional.
Web Address: type in the person's web address; optional.
E-Mail: type in the person's e-mail address; optional.
Memo: type a memo; optional. If the person is an individual payee, TAG can print the memo on checks issued to this payee if so desired.
Attention: if the check is to be sent to the attention of some person or department other than the payee, type the name in here; optional. TAG can print the information on checks issued to this payee if so desired.
Care Of: if the check is to be mailed in care of someone other than the payee, type the name in here; optional. TAG can print the information on checks issued to this payee if so desired.
Click on Next Block to move to the Phone Numbers block.
Fill in:
Home Phone: type in the person's home telephone area code; telephone number; extension; optional.
Business Phone: type in the person's business telephone area code; telephone number; extension; optional.
Fax number: type in the person's facsimile area code; facsimile number; extension; optional.
Click on Next Block to move to the Visitor Profiles block. The fields in this block can be customized by your TAG administrator (administrators: see the link below about defining visitor profiles). Use the scroll bar on the right of the block to scroll through the visitor profiles.
Fill in:
Type: these profiles are set up by your TAG system administrator (e.g. gender, hair color, eye color etc.).
Code: select codes from a List of Values for some fields, type in the codes for other fields (depending on how your Visitor Profiles are set up).
Description: when you select a code from the List of Values, this field automatically fills in with a code description.
Click on Next Block to move to the Person's Identifiers block. In this block, you record the person's identifying documents.
Fill in:
Type: select from a List of Values the type of identifier (e.g., birth certificate, driver's license); mandatory.
Description: automatically fills in when the Type has been selected from the List of Values.
Number: type in the number of the identifier (e.g., driver's license number); optional.
Issued Authority Text: type in the name of the government agency that issued the identifying document; optional.
Click Save.
To see a list of offenders associated with this person, click on the Linked Off[enders] button. This opens the Offenders Linked to the Person pop-up window.
