Step 1in Group Temp Absences
The Maintain Temporary Absences screen is where you create groups and schedules needed for the temporary absence or movement of groups of offenders.
A typical use for this would be used to schedule regular work groups outside the facility.
To access this screen from the Main Menu, select Institution Schedules Temp. Absence Maintain Temp. Absences.
To set up a group:
Query/Find to retrieve all work groups.
Click the desired group, and then click the next block to schedule the group. (Skip to section on Scheduling a Group: below.)
OR
Click Insert to add a blank line, and fill in the following fields:
Group: Mandatory. Select a type of group from the List of Values (LOV).
Reason: Mandatory. Select the reason for establishing the group from the LOV.
Location: Mandatory if City not selected. Location is generally used when the group activity is to take place at another institution or agency. Select a location from the LOV.
City: Mandatory if Location not selected. Select a city from the LOV.
Escort: Select an escort (or none) from the LOV.
Start Date: Mandatory. Enter a date for the start of the schedule (MM/DD/YYYY).
End Date: Mandatory. Enter a date for the end of the schedule (MM/DD/YYYY).
To schedule a group:
Click Next block to set a schedule for the Group, and complete the following fields:
Week Out: Mandatory. Defaults to 1. (You only need to specify additional week numbers, when you are creating a schedule that varies from week to week.
Day Out: Select the day of the week when the group is to leave from the LOV.
Time Out: Enter a starting time (HH;MM).
Week In: Defaults to the week number entered in Week Out. (You only need to enter a different Week In number, when an offender goes out one week and returns on another.
Day In: Select the day of the week when the group is to return from the LOV.
Time In: Enter the time the group should return (HH:MM).
Location: Defaults to the Location (if any) selected in the Group Block. (To change, select a location from the LOV).
City: Defaults to the City (if any) selected in the Group Block. (To change, select a city from the LOV).
To add more appointments to the schedule, click the next blank line and complete repeat step 3.
To create the schedule, click Generate Schedules, then click YES when prompted.
The Edit Group TA Schedules Block displays the day-by-day schedules created for the group.
