Step 4 in the Sentencing Process
Now that you have cleared outstanding hold orders, you can enter the sentence orders on the Commitment Order screen. Based on the information you enter, TAG automatically calculates the sentence expiry date and the earliest possible release date for the offender. To record the sentence:
To access this screen from the Main Menu, select Institutions Legal Orders Commitment Order.
OR
Select Institution Booking Commitment Order.
If necessary, query in the Header block to locate the offender record.
Click Next Block.
Complete the Commitment Order block.
Case Number: type in the case number; mandatory.
Court: List of Values available; mandatory.
Judge: the name of the presiding court officer.
Comment: optional text entry; comment regarding the commitment order.
Date of Sentence: type in the sentence date using a MM\DD\YYYY format.
Start Date: type in the reception date using standard date format; mandatory.
Status: system-generated.
County / State: a List of Values is available.
Conviction Date: type in the date the offender was convicted. Use standard date format; mandatory.
Click Save.
Click Next Block.
Complete the Debits / Credits block.
Sentence (Adjustments): List of Values available; mandatory.
From Date: type in the date the sentence will commence; standard date format.
To Date: type in the date the sentence will end; standard date format.
Number of Days: automatically system-generated when the From Date and To Date are entered.
Total Days / This Type: automatically system-generated when this Debits / Credits block is filled in.
Click Save.
Click Next Page. The cursor automatically goes to the Offense field in the Offenses block. Fill in the Offenses block.
Statute: identifier for a statute; automatically fills in when an offense is selected from the List of Values.
Offense: select from a List of Values. To enter another offense, use the arrow key to scroll to a new line and select the offense from the List of Values.
Description: field automatically fills in when an offence is selected from the List of Values.
Type: field automatically fills in if there is one type only attached to the offense, otherwise select from a List of Values.
Severity: field automatically fills in when an offense is selected from the List of Values.
Status: system-generated.
Comment: free text entry.
Click Save.
Click Next Block to access the Offender Sentences block.
In the Offender Sentences block, complete the following fields for each offense. (If an offense has multiple sentences (due to multiple counts), record each sentence separately (as a new line in the Sentences window). To enter another sentence on the same offense, use the arrow key to scroll to a new line.)
Type: select an offender sentence from the List of Values; mandatory.
Count #: automatically fills in when a Type is selected from the List of Values.
Count # :
Consecutive to: if this is a consecutive sentence, click on the List of Values to see the offender’s existing sentences, and select the one which the current sentence is consecutive to.
CAP EKSTRAND: List of Values available.
Click Next Block.
Complete the Sentence Terms block and record the time to be served.
Term: a List of Values is available. If there is more than one sentence term, use the arrow key to scroll to a new line then select the term from the List of Values.
Years: type in the total number of years.
Months: type in the total number of months.
Days: type in the total number of days.
Start Date: if this is an accumulative/consecutive sentence, TAG automatically displays the Commencement Date from which the sentence expiry date will be derived (the end date of the first sentence plus one day). If this is a concurrent (sentences that are served at the same time) or periodic sentence, you must enter the Date/Time. For periodic sentence, the Commencement Date determines if the sentence will involve mid-week or weekend appearances. [Enter a Wednesday for mid-week or a Friday for weekend appearances].
End Date: type in the sentence end date; standard date format.
Parole Release: type in the parole release date; standard date format.
Click Save.
