Use the Internal Transfers screen to transfer work from one officer to another officer, or from one non-officer status to another non-officer status, at the same office.
To access this screen from the Main Menu, select Community Workload Management Transfer Work Item Transfer Work Between Officers.
In the Transfer From block, complete the following fields:
Location: query for the location, or select from the List of Values; mandatory. The list includes all locations with update access in the current caseload.
From Officer: select from the List of Values; leave blank if you are transferring from one non-officer to another non-officer. The List of Values displays all staff members with current work assignments at the selected agency location. This includes expired work assignments, but excludes discharged work and work that has been transferred to another location.
You can transfer work from an officer to another officer, or from a non-officer to another non-officer (but not from an officer to a non-officer or vice versa).
Offender: you can query for a unique offender ID#, last or first name; optional.
Non-Officer Status: select from the List of Values; leave blank if you are transferring from one officer to another officer.
Click Query.
Click Next Block to access the Transfer Work block, which automatically displays work currently assigned to the officer named in the From Officer field. Returned records are listed by Offender Name (in alphabetical order), then by Order/Request Type/Code/Component.
Check one of, not both:
Transfer checkbox: for each work item to be transferred; defaults to unchecked; optional.
Transfer All Displayed Items checkbox: shortcut when all work associated with an officer or offender is to be transferred; optional.
Click Next Block to access the Transfer To block.
You must select one of the following:
To Officer: select from the List of Values; leave blank if you are transferring from one non-officer to another non-officer. The list displays all staff members currently active at this agency location. You cannot select the same name in the To Officer field as in the From Officer field.
To Non-Officer Status: select from the List of Values; leave blank if you are transferring from one officer to another officer.
Click Save.
After saving the file:
The transferred work item remains on the screen until you perform another query or quit the screen.
The From Officer's current workload is reduced by the appropriate weighting amount.
The To Officer's current workload is increased by the appropriate weighting amount.
If there is a paper file associated with the transferred work item or items, click the Re-allocate Paper File button to open the Create/Edit Offender Files screen.
