The Report Transcription screen displays reports requested (on the Requests screen), but not yet transcribed and sent back.
Use this screen to view reports requiring transcription, to record the date and time they are sent for transcription, and to record the date and time they are received back transcribed. Once they are received back, thay are ready to be delivered to the court that requested them.
The transcription step in the report process is not mandatory, and reports can be selected on the Report Transmittal screen for shipment to a court without being recorded here as transcribed. However, once you check the Sent (to transcribing) checkbox, that report cannot be transmitted until the Received Back checkbox has also been checked.
To access this screen from the Main Menu, select Community Orders/Requests Court Report Transcription.
Query any field.
When you query, the only reports that display are those that do not have the Completed/Forward for Delivery, and Received Back checkboxes checked in the Details/Tracking window, Requests screen. The reports are listed in order of transcription due date.
Fill in:
Sent checkbox: if a report has been sent for transcription, check this box; optional. The current date and time appear in the Sent field of the Details block below. Once this box has been checked, the report cannot be delivered to the court until the Received Back checkbox has been checked.
Rec[eived] Back checkbox: if a report sent for transcription has been received back, check this box; optional. The current date and time appear in the Received Back field of the Details block below.
Select All Items [Sent or Received Back] checkboxes: check either of these boxes to select all displayed items as either sent or received back.
Click Save. The system transfers the information to the Transcription fields in the Tracking block of the Details/Tracking window. Reports that have been checked as Received Back disappear from this screen.
