You can use the Track Community Service Progress screen to record the community service hours served by offenders against the total hours required by the courts (as recorded on the Orders screen). For each individual order, the screen provides an overview of hours ordered, credited and remaining.
To access this screen from the Main Menu, select Community Case Management Track Community Hours.
If necessary, query in the Header block to locate the offender.
The Community Service block automatically displays all orders entered on the Orders screen for the selected offender that have the CSO Condition box checked in the Conditions window. You cannot make changes to this block.
Select the order to which the hours will be credited. By default, the top row is selected.
Click Next Block to access the Progress block. This block shows all existing entries against the selected order in the Community Service block.
To credit hours against the order selected in the Community Service block, fill in:
Date Range (I): type the first date of the time period in which the hours were served using a MM\DD\YYYY format.
Date Range (II): type the last date of the time period in which the hours were served; optional. This date must be later than Date Range (I). Use standard date format.
Reported Hours: type in the number of hours reported; optional. The number can have up to 2 decimal places.
Credited Hours: type in the number of hours to be credited; defaults to 0. The number can have up to 2 decimal places. This value can be updated as reported hours are confirmed.
Rating: select a performance rating from the List of Values; optional.
Agency Location: select the agency location where the hours were served from the List of Values; optional. If this field is filled, the next field (Outside Location) becomes unavailable.
Outside Location: select from the List of Values the outside location where the hours were served; optional. If this field is filled, the last field (Agency Location) must be blank.
Comment: type in a comment; optional.
Click Save.
The number of hours entered in the Credited Hours field is automatically added to the number of hours displayed in the Hours Credited field, Community Service Block and subtracted from the number of hours in the Hours Remaining field.
Repeat steps 3-6 for each additional order that has hours to be credited.
