Use the External Transfer of Primary Ownership screen to initiate the transfer of primary ownership of an offender from one office to another. All work items relating to that offender are automatically transferred.
To access this screen from the Main Menu, select Community Assign/Transfer Officer External Transfer.
In the External Transfer block, select the locations where the work is being transferred from and to:
From Location: select from the List of Values; mandatory. The list displays all agency locations with update access in the current caseload.
To Location: select from the List of Values; mandatory. The list displays all agency locations in the jurisdiction, regardless of caseload.
Click Next Block to access the Transfer Offenders block.
Fill in a unique offender identifier or an Assigned Officer (last name or first name); mandatory. This prevents the accidental transfer of all work from one location to another.
Click Query to locate the offender(s).
To select the offenders to be transferred, check the Transfer checkbox; optional; defaults to unchecked. When all displayed offenders are to be transferred, you can check the optional Transfer All Displayed Items checkbox as a shortcut.
Click Save.
After saving:
The transferred work appears on the Track Transfer of Primary Ownership screen until it is assigned at the receiving location.
The transferred work appears on the Incoming Transfer of Primary Ownership screen at the receiving location until it is assigned.
The Total Workload/Officer Assignments assessment for the agency location and the Individual Workload for each affected officer is automatically reduced by the appropriate amount.
The Total Workload/Unassigned assessment for the receiving agency location is automatically increased by the same amount.
The officer assignment at the sending location is not changed until a new assignment is made at the receiving location. If the transfer is cancelled, the officer assignment reverts to the officer assignment in effect at the time of the transfer, and the current workload for that officer is re-adjusted by the appropriate amount.
Click the Orders/Requests button to open a pop-up window showing details of all supervision orders and investigation requests associated with the offender selected in the Transferred Offenders block.
If there is a corresponding paper file that should be transferred with the work, click on the Transfer Paper File button to open the Offender Files Inquiry screen, where you can initiate a transfer (unsolicited send) of the hard copy file.
