Receiving Transfer of Primary Ownership

On the Incoming Transfer of Primary Ownership screen, transferred offenders and the work associated with them are assigned to an officer at the receiving office, formally accepting the transfer of primary ownership. Once accepted, offenders are removed from the Track Transfer of Primary Ownership screen at the transferring location.

Checking the Cancel Transfer checkbox on the Track Transfer of Primary Ownership screen removes that offender from this screen.

  1. To access this screen from the Main Menu, select Community Assign/Transfer Officer Incoming Transfer.

  2. In the Incoming Location block, select a location from the List of Values; mandatory. The list shows only locations to which you have update-access in your current caseload.

  3. Click Query. The Incoming Offenders block automatically displays incoming offenders for the selected office, listed in alphabetical order. The Assign to Officer block automatically displays all active officers at the receiving location.

  1. Click the Assign checkbox at the righthand end of the line item to select the offender. By default, the first row is selected. If more than one offender is being assigned to the same officer, select the checkboxes for all those offenders.

  2. Click Next Block to access the Assign To Officer block.

  3. Select the Assign checkbox at the left of the Name field to assign primary ownership of the selected incoming offender(s) to that officer. Only one officer can be selected at a time.

    Select the Assign All Offenders to One Officer checkbox as a shortcut if all offenders are being assigned to the same officer. All the Assign checkboxes in the Incoming Offenders block are automatically selected.

  4. Click Save. Only one officer assignment can be saved at one time.

  5. Repeat steps 4 through 7 for each officer to whom transferred offenders are being assigned.

After saving:

You can click the Orders/Requests button in the Incoming Offenders block to open a pop-up window showing details of all supervision orders and investigation requests associated with the selected offender.

If a paper file relating to the transferred work is being transferred as well, you can receive it on the Receive Offender Files screen. Click the Receive Paper File button to open that screen.
