Tracking Transfer of Primary Ownership

The Track Transfer of Primary Ownership screen displays cases in transit, i.e., offenders that have been transferred to another office but have not yet been assigned to an officer at that office. To determine whether a transfer has been completed:

  1. To access this screen from the Main Menu, select Community Assign/Transfer Officer Track External Transfer.

  2. Click the Transferred From Location field in the Track External Transfers block.

  3. In the Track External Transfers block, click the List of Values, then select the location from which primary ownership is being transferred. The List of Values displays all agency locations with update access in the currently selected caseload.

  4. Query for the records.

To narrow the search, you can select a Transferred To Location from the List of Values in that field in the next block. The list shows all community-type locations, not only those in the current caseload. Query will return only transfers between specified From and To Locations.

  5. The Transferred Offenders - Not Yet Assigned block automatically shows all offenders transferred from the location selected in the From Location field, but not yet assigned (received) at the receiving location. Records are listed in the following order:

To cancel a transfer:

  1. Select the Cancel Transfer checkbox to cancel a transfer before it has been received at the To Location.

  2. Click Save.

When a transfer of primary ownership is cancelled, the officer assignment for the work reverts to the officer assignment in effect at the time of transfer. The current workload for that officer is re-adjusted by the appropriate amount. This reverted assignment appears on the Office Workload Inquiry screen even if the officer in question no longer works at the location.

Click on the Orders/Requests button to open a pop-up window showing details of all supervision orders and investigation requests associated with the offender selected in the Transferred Offenders - Not Yet Assigned block.
