The Offender Referral screen records offender referrals for a specific active program or service. (Expired programs or services do not appear on this screen.) You may not need to use this screen, since some facilities do not require officers to refer offenders before assigning them to programs or service sessions. This depends on the processes used in your agency or institution. If you are in doubt about whether or not to use this screen, refer to your system administrator.
To access this screen from the Main Menu, select Community Programs/Services Offender Referrals.
If necessary, query in the Header block to locate the offender record.
Click Next Block to access the Offender's Current Program/Service Profile block. This block shows the offender's current list of programs/services in alphabetical order, by Program/Service.
You can query on any of the fields in this block to locate a specific referral. You cannot delete lines in the Offender's Current Program Service Profile block.
Click Next Block to access the New Referrals block.
To refer the selected offender to a program or service, fill in these fields:
Category: select a program/service category from the List of Values; mandatory.
Program/Service: select a program/service from the List of Values; mandatory.
Provider: select a provider offering the selected program/service from the List of Values; optional.
Priority: select a priority for the referral from the List of Values; optional.
Course/Activity ID: select from the List of Values a course or activity offered by the selected provider for this program/service; optional.
Session ID: if you have selected a Course/Activity ID, you can select a session ID from the List of Values. It displays only sessions defined by your system administrator for the selected Course/Activity ID. If there are no entries in the List of Values, you can type in a session ID; optional.
Referred By: defaults to the current user ID; to change it, select from the staff members in the List of Values; mandatory.
Referral Date: defaults to the current date. To change the date, enter another using a MM\DD\YYYY format. The date must be the same as, or earlier than the current date.
Comment: type in a comment if you wish; optional.
Click Save.
After saving, the referred program appears in the top line of the Current Program/Service Profile block, with a pending status.
