The Offender Attendance screen is used to record offender attendance at a specific program/service session. Offender attendance is recorded by the administrators and providers of a particular program or service. In some cases, the program and services providers may be given access to this screen so that they can enter attendance. In other cases, they supply the agency with the information so that administrative personnel can enter it into TAG.
This screen records information for groups of offenders. For monitoring individual offenders, use the Offender Progress and Results screen. That screen provides all the information available here and more, but only for the offender selected in the Header block.
To access this screen from the Main Menu, select Community Programs/Services Offender Attendance.
The screen opens with the cursor in the Location field. Select from a List of Values the location where the offenders attending programs/services are attached/located; mandatory. Only locations that are update-accessible in the current caseload appear in the list.
To narrow the search to only those offenders assigned to a particular program, click in the Course/Activity ID, Session or Description field and select from the List of Values; optional.
To narrow the search still further, you can type in a date and/or time in the Date and Time fields; optional. TAG will return only those records for sessions at the specified date and time.
Click Query.
After the query is executed, the Offender Attendance block alphabetically lists all offenders scheduled for the selected session/date/time. When multiple sessions are returned, the records are stacked in chronological order.
The fields available for the particular program or activity may vary. Some activities may require precise records (Clock In/Out), while others may be crediting the hours against community service orders or some other order or request condition. These variations are set by the system administrator.
To confirm offender attendance:
Fill in as many of these as are available:
Confirm checkbox: check the checkbox if you know that the offender attended the particular session; optional; defaults to unchecked.
You can only use the Confirm checkbox OR the Clock In/Clock Out fields to track attendance, not both. Your TAG administrator has set this up according to your business practices.
Clock In: type in the time the offender arrived for the session; HH:MM (24-hour clock); optional.

Clock Out: type in the time the offender left the session; HH:MM (24-hour clock); optional.
Calc[ulated] Hours: if Clock In/Out values are used, the system calculates the exact amount of time to the minute that the offender spent at the program or activity. You cannot change this value.
Cred[ited] Hours: defaults to the system-calculated figure shown in the Calc Hours field. You can overwrite it using the HH:MM (24-hour clock); optional.
Rating: select an attendance rating from the List of Values; optional. (Options are set by your TAG administrator, but may include such choices as excused late, inexcused late, excused absence, inexcused absence).
Comment: type in a comment if you wish; optional.
Click Save.
A record can't be modified once it has been saved with an entry in the Confirm, Clock Out or Rating fields.
All attendance records can be edited on the Offender Progress & Results screen.
