Remand orders and detainer orders are recorded on the Appearance/Detainer Orders screen. This screen also schedules movement or appearance orders authorizing the movement of the offender to court on a specified date.
To access this screen from the Main Menu, select Institutions Legal Orders Appearance Orders.
Click Query to locate the offender record.
Click Next Block to access the Orders block, then click a blank record.
Complete the following fields in the Orders block:
Type: the code of the order type; mandatory; List of Values available.
Info#: an identification number assigned by the court; mandatory. If the Info# isn't known, enter "unknown."
Status: automatically fills in when you save this record.
Issued By: description of the agency location; mandatory; List of Values available.
Location: issuing location; mandatory; List of Values available.
[Date] Issued: the date the order was issued; type in using a MM/DD/YYYY format.
Judge: the name of the presiding court officer.
Orig Court: court of the original order; List of Values available.
Termination Date: the date an order is cancelled; standard date format.
Reason: describes the reason for terminating the order; a List of Values is available. Filling in this field is mandatory if the Termination Date field is filled in.
Comment: free text entry; a comment associated with the order.
Verified?: defaults to not verified .
Click Save. The Status field now reads Active until the court date/time is reached, then it changes to Expired. If an order is terminated, the status field reads Term (terminated).
If the order is a remand specifying a court date, click Next Block to access the Court Appearance Schedule block. Fill in the court dates and locations associated with the order. The check boxes available at your site may be different from those in this example — they can be customized by your TAG application administrator. Note: The Court Appearance Schedule block can be left blank if the information is unknown, and typed in at a later date.
Date and Time: enter the scheduled appearance date (standard date format) and time (HH:MM, 24 hour clock).
Reason: movement description; List of Values available.
Court: description of the agency location; List of Values available.
Escorted By: List of Values available.
Comment: free text entry; comment relating to the schedule record.
VC: check the box if video conferencing is scheduled; defaults to (unchecked).
Tr: check the box if transport is required; defaults to (unchecked).
Click Save.
Click Next Block to access the Charges block, and list each charge associated with the order. Scroll to a blank line with the down arrow key to record each charge.
Statute: identifier for a statute; automatically fills in when an offense is selected from the List of Values.
Offense: List of Values available.
(Offense) Type: List of Values available; this field automatically displays an offense type if there is only one choice.
Cts: the number of counts for the offense; mandatory.
Clr: the number of counts cleared for this offence.
Status: status of the offence: system-generated.
Click Save.
The Status field reflects the status of the charge and remains Active while uncleared charges remain.
After you have saved, the hint text reads: Bail conditions may apply to this order. Click Next Block to access the Bail/Bond screen. Note: The order status changes to Bailed when Bail has been applied.
Scheduled court dates will now appear on the Scheduled Movements Inquiry screen and on the Court Movement Inquiry screen.
You may still have to verify the order. The verification process does not lock any information (locking is achieved through changes in status).
