With the Request Schedule/Inquiry screen you can singly, or in batch:
assign a disposition to those requests that need one (open status requests).
schedule disposed requests for review.
The easiest way to batch assign a disposition, or to batch schedule a review, is to inquire on a request status. If you inquire on an open status, then all of the requests that may require a disposition display. If you inquire on a disposed status, then all of the requests needing a review display, and so forth.
Request information entered in the Requests screen automatically displays on this Request Schedule/Inquiry screen, and vice versa. Any disposition or review date that you assign to a request on this Request Schedule/Inquiry screen, will automatically display on the Requests screen.
Select Institutions Requests Schedule/Inquiry from the Main Menu.
This screen opens in query mode defaulting to requests with an "open" status. If you click the Retrieve button all offenders with an open status request display in the Results block. If you wish to narrow down your search, you can enter information in any of the fields, and click the Retrieve button. For a more specific search, you can select up to two housing levels within a particular institution. Then click the Retrieve button to list the offenders with an open status request in that housing level, in that institution. Now that the offenders are listed, you can assign a disposition if required.
You can query on disposed status requests, by selecting "disposed" in the status field, executing a query, and clicking the Retrieve button. Once the offenders are listed, you can schedule request reviews. This applies to those with a "pending" status as well.
You can also query offender requests with active, discharged, and reviewed statuses.
Institution: select from a List of Values an institution to query.
Housing Level: select from a List of Values a housing location to query (up to two levels).
Status: select from a List of Values a request status to query.
Retrieve button: click this button to list offender requests in the Request block.
Click Next Block to access the Disposition/Schedule block, where you can either assign a disposition, or schedule a request review. In either case, certain fields are available for you to enter information, and other fields are "greyed out" indicating that you cannot enter information.
Fill in the following fields to either assign a disposition, or to schedule a request review.
Assign a disposition
Type: select Disposition from a List of Values.
Date: type in a disposition date using a MM\DD\YYYY format.
Disposition: select from a List of Values the decision (disposition) made on the request.
Authorized By: select from a List of Values the person who authorized the disposition.
Referred To: select from a List of Values the authority the request is referred to, if there is a referral.
Schedule a review
Type: select Review from a List of Values.
Date: type in a review date; use standard date format.
Review Authority: select from a List of Values the authority reviewing the request.
Time: type in the time of the review; HH:MM (24 hour clock).
Location: select from a List of Values the review location.
Click Next Block to access the Requests block. In the Requests block, select the Confirm checkbox beside an offender request to singly, or in a batch, assign a disposition or schedule a request review, for the disposition or review selected in the Disposition/Schedule block.
Confirm checkbox: select this checkbox, if you want the offender request to have the disposition or review selected in the Disposition/Schedule block.
Offender Unique ID#: when you query an offender's unique ID#, the offender's Last Name, First Name, Request Date, Request ID#, Request Type, and Status fields are automatically filled. This creates an additional offender record for you to assign a disposition or schedule a review.
Last Name: the offender's surname automatically displays when his/her unique ID# is queried.
First Name: the offender's first name automatically displays when his/her unique ID# is queried.
Request Date: type in a request date to query; use standard date format.
(Request) ID#: type in a request ID# to query.
In Person checkbox: check the checkbox if the offender must attend the review. This creates a schedule record for the offender. If the offender must attend a review, and has multiple requests to be reviewed, you should only check one IP checkbox (checking several IP checkboxes creates several schedule records).
Request Type: type in a request type to query.
Disposition: query only. This field displays all dispositions if you query on any status other than "open" in the top block.
When you have assigned your dispositions or scheduled your reviews, then click Save. The records that you have assigned dispositions to, or scheduled reviews for, disappear from this screen.
