The Alerts screen is one of many demographic screens used either when booking an offender into an institution, or when performing an intake on an offender for community work. During the booking or intake process, or at any time thereafter, medical, security and/or transport alerts on an offender may be entered on the Alerts screen. Alerts can be recorded even when the offender is inactive-out (because it is possible you may receive non-association information on an offender during periods of non-custody). All alerts are historically tracked.
For institutional work: select Institutions Case Management Alerts to access this screen from the Main Menu.
For community work: select Community Intake Alerts from the Main Menu.
If necessary, query in the Header block to locate the offender. The screen automatically displays any existing alerts for the selected offender, listed by type and effective date, starting with most recent. Active alerts are listed first, followed by inactive alerts.
To enter a new record, click a blank line in the Alert Type field, or click Insert in the Alerts block.
In the Alerts block, complete the following fields:
Alert Type: select the type of alert from the List of Values; mandatory.
Alert: select the alert from the List of Values; mandatory.
Status: automatically fills with Active after saving.
Effective Date: defaults to current date. To change the date, enter another using a MM\DD\YYYY format. The Effective Date must be the same as, or earlier than the current date.
Expiry Date: enter the date on which the alert expires using a MM\DD\YYYY format. Optional field.
Click Next Block to access the Details block.
In the Details block, complete the following fields:
Authorized By: type in the name of the person authorizing the alert. This is the same name as the one selected in the Alerts block. Optional field.
Comment: type in a comment; optional.
Click Save.
The Verified checkbox defaults to No (unchecked). Click the Verification button after saving to open the Verification pop-up window. When you return to the Alerts screen after saving the verification, the checkbox is selected.
You may record any number of alerts—be sure to click Save for each alert entered.
From the Details block, click Next Block to access the next screen in the booking or intake sequence.
