Use the Close Contact screen to close or deactivate an offender's record. Before you can close a contact, you must close all of the offender's legal cases so that they have Inactive statuses.
When you close the contact, TAG:
checks to make sure that all of the offender's legal cases have an Inactive status
initiates a paper file transaction so the offender's folder is returned to an archive location for storage
removes the offender's association from the community caseload/facility.
The archive location must receive the offender's folder before the offender's association from the community caseload/facility is removed. A folder transferred to the archive location will have an In Transit status, and will be listed on the Paper File Delivery screen where a transmittal receipt is generated. After the offender folder arrives at the archive location, the received folder will be recorded on the Receive Paper Files screen.
Select Community Add/Close Contact Close Contact from the Main Menu.
If necessary, query in the Header block to locate the offender. Only offenders with Active status have contacts to close. Closing the contact changes their status to Inactive.
Click Next Block to access the Close Contact block.
Fill in these fields:
Date: type in the date when the contact is to close using a MM\DD\YYYY format; mandatory field
Time: type in the time the contact is to close using an HH:MM format. format; mandatory.
Agency Location: select from the List of Values the agency location whose contact is being closed; mandatory.
Reason: select from the List of Values the reason for closing the contact; mandatory.
Comment: type in a comment; optional.
Click Save. The offender's probation status changes to Inactive.
When you close an offender record here, TAG creates a Close Case# for any paper file that has been listed on the system. You can view this number on the Create/Edit Offender Files screen.
