TAG contains two types of reports: reports formatted for viewing on your computer, and reports formatted for printing on paper. Reports made for viewing on your computer are called Inquiry screens, and are accessed like any other TAG screen. Reports made for printing are usually accessed through a Report Submission screen. You use a Report Submission screen to let TAG know which report you would like to print, and to fine tune the contents of your report with report parameters.
When you bring up a Report Submission screen, your cursor is in the Report field of the first block. You use this block to select the report you want and printing details:
Report (List of Values available): select your Report from the list of available reports. The reports available will depend on which menu (Institutional, Community, Trust, Commissary) you selected the report submission screen from—each menu has its own set of available reports.
Printer (List of Values available): select which printer you would like to print from. This may default to a pre-selected printer for this report.
Copies: usually defaults to 1. You can change this number if you need more than one copy of the report.
Display On Screen: TAG automatically checks Display On Screen if you leave the Printer field blank then move to the next block. When TAG generates the report, it will display it on the screen, and you will be given the choice later of printing or cancelling the report.
Click on Next Block.
You fill in the second block of the report submission screen after selecting which report you want to print. When you move to the second block of the report submission screen, TAG automatically displays any additional parameters for the report you selected in the block. You use the parameters to fine tune your report. Each report is different and will have its own report parameters.
Once you have selected your report parameters, click on Save. TAG now begins to print the report.
The report is now generating. If you selected Display on Screen, a display box will appear on your screen for you to review the report. If you selected a printer, the report will be sent to the printer shortly.
Some reports can be very long and require some time to compile and print. Your site may have a standard practice for when printing these reports, such as printing them overnight or on a special printer.
