A previously merged file can be unmerged and become an individual file again, subject to these conditions:
Only a file with a Non-Officer value of Merged can be unmerged.
An unmerge can take place only on a caseload with update access to the location holding the 'master' or allocated file about to be separated.
This location becomes the default for the unmerged file, and cannot be changed to another location for this transaction.
For institutional work: select Institution Paper File Tracking Merge/Unmerge Offender Files to access this screen from the Main Menu
For community work, select Community Paper File Tracking Merge/Unmerge Offender Files from the Main Menu.
To un-merge a file, select the Select Files checkbox. Only one record can be selected.
The Date/Time fields default to current system date/time and cannot be changed.
Click the Un-merge File button.
When the 'master' file is not at an update-accessible location on the current caseload, the selected file cannot be un-merged. The following message appears:
"This file cannot be un-merged using your present caseload. [OK]"
Click OK.
If the un-merge request meets all conditions, this message appears:
"This file will be un-merged into two separate volumes. [OK/Cancel]"
Click OK.
After un-merging:
The allocation of the un-merged file reverts to that of the file it was merged into.
The Comment field for the 'master' file reads: "This file no longer contains merged File #, Vol #."
The Comment field for the un-merged file reads: "This file has been un-merged from File #, Vol #.".
The transaction history of the un-merged file on the Offender Files Inquiry screen now displays the un-merge transaction. The history also contains all transactions that occurred during the period of the merge, copied from the file that the newly un-merged file had been merged into.
