Tracking Transferred Paper Files

The Track Transferred Offender Files screen lists paper files that have been transferred to another office, but have not yet been allocated, that is, assigned to an officer at that office. Paper files are not considered to have been received until they have been assigned to an officer at the receiving location.

  1. For institutional work: select Institution Paper File Tracking Track Transferred Files to access this screen from the Main Menu

For community work, select Community Paper File Tracking Track Transferred Files from the Main Menu.

  1. From the List of Values in the Transferred from Location field, select the location from which files are being transferred; mandatory. The list displays all agency locations that are update-accessible in the currently selected caseload.

  2. To see only files transferred to a specific location, select that location from the List of Values in the To Location field; optional. The list includes all locations (not only those in the current caseload).

  3. Click Query.

The Transferred Files - Not Yet Allocated block displays all files transferred from the selected location that have not yet been allocated at the receiving location. They are listed in the following order:

  1. by Transfer Date/Time in chronological order

  2. then by offender Name (last/first) in alphabetical order

  3. then by File Type, in ascending alpha-numeric order by code

  4. then by File Sub-Type, in ascending alpha-numeric order

  5. then by File Number, in ascending numeric order

  6. then by Volume Number, in ascending numeric order.
